Introduction
RevOps AI, Inc. (referred to as “RevOps AI,” “we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you use our websites, platform, and services (collectively, the “Service”). By accessing or using the Service, you agree to the practices described in this Privacy Policy and our Terms of Service. If you do not agree, please discontinue use of the Service.
We encourage you to read this Privacy Policy carefully to understand our practices regarding your information. If you have any questions, you can contact us using the information in the Contact Us section below.
1. Information We Collect
We collect information about you in various ways, including information you provide directly, information collected automatically through your use of the Service, and information from third parties. This information may include “Personal Data” which means any information that identifies or relates to an identifiable individual. The types of information we may collect are:
1.1 Information You Provide
You may provide certain information to us when using our Service, such as:
• Account and Contact Information: When you create an account or register for the Service, we collect information like your name, email address, phone number, company/organization name, job title, login credentials, and billing details (including payment method information).
• User Content: We collect any content you upload, submit, or transmit through the Service. This includes communications and data within our platform, such as chat messages, emails or SMS/text message content, call recordings and transcripts, voice messages, attachments, images, or other materials you generate or provide while using the Service.
• Contact Lists and Third-Party Data: If you choose to import or input personal information of others into the Service (for example, by uploading a list of your customers’ or leads’ contact information, or integrating your CRM), we will collect the information you provide such as those individuals’ names, email addresses, phone numbers, and other contact details. We treat this information as User Content under your direction and process it to provide the Service (you are responsible for ensuring you have a lawful basis or consent to provide such third-party personal data).
• Support and Feedback: If you contact us for support, send us inquiries, or provide feedback, we will collect the information you choose to share, such as your contact information and the content of your communications.
1.2 Information We Collect Automatically
When you use our Service (including visiting our websites or using our apps), we automatically collect certain information about your device and usage of the Service:
• Usage Data: We collect information about your activity on the Service, such as the features you use, pages or screens you view, the links you click, the time and duration of your activities, the date and time of your visits, log files, and other interaction details. For example, we may log when you log into your account, when you send a message or place a call through the Service, or when you perform certain actions within the platform.
• Device and Technical Data: We collect information about the computer or mobile device you use to access the Service. This may include your IP address, browser type, device type, operating system and version, device identifiers (such as UUID or MAC address), mobile network information, and regional/language settings. If you access our mobile app, we might also collect mobile device IDs or push tokens.
• Cookies and Tracking Technologies: We and our third-party partners use cookies, web beacons, pixels, and similar tracking technologies to automatically collect information on our websites and through the Service. These technologies help us remember your preferences, understand how you interact with our Service, and personalize your experience. For example, we may use cookies to recognize you when you return to our site, or to track aggregate usage statistics and analytics. You have choices to control or limit cookies as described in the Your Rights and Choices section below (see “Cookie Preferences”).
1.3 Information from Third Parties
We may receive information about you from third-party sources, including:
• Third-Party Integrations: If you choose to connect or integrate our Service with third-party services, platforms, or social networks (for example, signing in via a single sign-on service, or connecting a CRM, email provider, or telephony API to our platform), we may receive certain information from those third parties. This could include your profile information or contacts from that service, in accordance with the authorization procedures and privacy settings you established with that third-party.
• Service Providers and Business Partners: We may obtain information about you from our service providers (such as analytics providers) or marketing/business partners. For example, if you were referred to RevOps AI through a partner or signed up via a co-branded promotion, the partner may share your registration information with us. We may also receive basic contact and company information from third-party data providers or public sources for marketing and sales lead purposes.
• Others: If someone invites you to use our Service or shares content with you through the Service, we may receive your name, email, or phone number from that person. Additionally, if you attend an event or webinar we host or visit us at a trade show, we may collect your contact details from those interactions.
We will treat the combined information from these sources in accordance with this Privacy Policy.
2. How We Use Your Information
We use the information we collect for a variety of purposes in operating our business and providing the Service to you. Our primary purpose in collecting personal information is to serve you better. Specific uses of your information include:
• Providing and Improving the Service: To operate, maintain, and provide you with all features of the Service, including to set up your account, authenticate you when you log in, process transactions, enable the AI-powered functionalities, and deliver the services and content you request. We use data to monitor the performance of the Service, fix bugs, perform troubleshooting, and continually improve the user experience and our product offerings.
• Communication and Customer Support: To communicate with you about your account or use of the Service. For example, we may send you service confirmations, technical notices, updates, security alerts, and administrative messages. We also use your information to provide customer support, respond to your inquiries, and inform you of changes to our Service or policies.
• Personalization: To tailor and optimize your experience on the Service. This may include customizing the content we display to you in our platform or website, remembering your preferences, providing recommendations, and otherwise personalizing the Service to be more relevant to you and your interests.
• Analytics and Development: To analyze usage trends and user behavior in order to understand how our Service is used and where improvements should be made. We may use analytics data to conduct research and to develop new products, features, and services. This helps us make data-driven decisions to enhance functionality, quality, and user satisfaction.
• Marketing and Promotional Purposes: To send you marketing communications about our new products, services, offers, or events that we believe may be of interest to you. These may include newsletters or product update emails. You can opt out of marketing communications as described in Section 6.2 below. (We will not send you marketing messages if you have opted out, and we do not disclose your contact information to third parties for their own marketing without your consent.) We do not automatically enroll anyone in marketing. Where required by law, we send marketing communications only with prior opt-in consent; otherwise, we rely only on permissible legitimate interests to existing account holders about RevOps AI’s own services. We never use customer-uploaded contact lists, end-user data, or User Content to market RevOps AI to those individuals.
• Enforcing Terms, Preventing Fraud, and Legal Compliance: To enforce our Terms of Service and other agreements, to prevent fraud, spam, abuse, or other harmful or illegal activities, and to maintain the security of our platform. We may use your information to investigate and deter unauthorized or fraudulent access or use of the Service. We also use information as necessary to comply with applicable laws and regulations, to respond to lawful requests and legal process (e.g., court orders, subpoenas), and to protect our rights, property, and safety, or that of our users, customers, and the public. In these cases, we will only use and disclose the necessary information.
• Other Purposes with Consent: If we intend to use your personal information for any purpose not described in this Privacy Policy, we will obtain your consent if required by law. We may also use your information in other ways that we specifically disclose to you at the time of collection or otherwise with your consent.
Legal Bases for Processing (EEA/UK users): If you are located in the European Economic Area or United Kingdom, our legal bases for processing your personal data include: (i) Performance of a Contract – we process data as necessary to provide you with our Service under our Terms of Service; (ii) Legitimate Interests – we use data to maintain and improve our Service, communicate with you, and ensure security, in ways that are not overridden by your privacy rights; (iii) Consent – where applicable, we rely on your consent for certain marketing communications or optional data sharing (you can withdraw consent at any time); and (iv) Legal Obligation – to comply with laws and regulations as noted above.
3. How We Share Your Information
We do not sell your personal information to third parties. However, we may share or disclose the information we collect in the following circumstances, or as otherwise described in this Privacy Policy:
• Service Providers and Vendors: We share personal information with trusted third-party service providers who perform services on our behalf to help run our business and the Service. For example, this includes hosting and infrastructure providers, cloud storage services, payment processors, analytics providers, customer support tools, communication providers (for delivering emails, SMS, or voice calls), marketing and sales software, and other IT or security service providers. These third parties are authorized to access and use your information only as necessary to perform their functions and are obligated to maintain the confidentiality and security of your information.
• Affiliates and Subsidiaries: We may share your information with our affiliated companies (entities under common ownership or control with RevOps AI) if any, in which case we will require them to honor this Privacy Policy. For instance, if RevOps AI expands and has subsidiaries or is acquired by a parent entity, we might share data within our corporate family to streamline services and operations.
• Business Transfers: If we are involved in a merger, acquisition, financing due diligence, reorganization, bankruptcy, receivership, sale of company assets, or transition of service to another provider, your information may be transferred to a successor or affiliate as part of that transaction along with other business assets. In such cases, we will ensure the recipient of your personal data commits to privacy measures that are consistent with this policy or inform you and obtain any required consents.
• Legal Compliance and Protection: We may disclose your information when we believe in good faith that such disclosure is necessary to comply with a legal obligation or request, such as a law, regulation, search warrant, subpoena, or court order. We may also disclose information to enforce our Terms of Service or other agreements, investigate or protect against potential illegal activity, assert legal claims, or defend against legal claims, or protect the rights, property, and safety of RevOps AI, our users, employees, or the public. This includes exchanging information with law enforcement or other companies and organizations for fraud prevention, spam/malware protection, and similar purposes.
• With Your Consent or at Your Direction: We will share your personal information with third parties outside of the above circumstances when we have your consent to do so. For example, if you intentionally use a feature of the Service that displays information to other users or the public (such as posting content in a public forum or using a chatbot widget on your website that discloses an operator’s name), we will share that information as you direct. Likewise, we may share your information with a third party when you instruct us to do so (for instance, if you integrate our Service with a third-party app, we might share data with that app at your direction).
• Aggregated or De-Identified Data: We may also share information that has been aggregated or de-identified so that it can no longer reasonably be used to identify you. For example, we might share aggregated usage statistics or insights in a way that does not reveal any personal details about individual users. This kind of data is not considered personal information and may be used by us for any legitimate purpose.
4. Data Security
We take data security seriously and employ a variety of administrative, technical, and physical safeguards designed to protect your personal information from unauthorized access, loss, misuse, or alteration. These measures include, for example, encryption of data in transit (e.g., using SSL/TLS for our website) and at rest (where appropriate), firewall and intrusion detection systems, access controls restricting who within our organization can access personal data, and regular security training for employees. We also implement measures such as pseudonymization or anonymization of data where feasible, and we monitor our systems for possible vulnerabilities and attacks.
However, no method of transmission over the Internet or method of electronic storage is 100% secure. Therefore, while we strive to use commercially acceptable means to protect your personal information, we cannot guarantee absolute security. You should also take steps to protect your information by, for example, choosing a strong password for your RevOps AI account and keeping it confidential, and logging out of the Service when you are finished using it.
In the event of a data breach that affects your personal information, we will act promptly to mitigate the impact and notify you and/or the appropriate authorities as required by law.
5. Data Retention
We retain personal information only as long as necessary for the purposes described in this Policy or as required by law. Unless you configure shorter retention in the Service, we apply the following defaults:
• Chat logs & message metadata: 18 months;
• Call recordings & transcripts: 12 months;
• Audit/security logs: 24 months;
• Support tickets: 24 months.
On account closure, we delete or anonymize production data within 30 days, subject to legal holds and standard backup cycles. Residual backups are protected and not used for production purposes.
6. Your Rights and Choices
You have certain rights and choices regarding your personal information. We aim to provide you with control over your data and how it is used. Below, we outline the tools and options available to you:
6.1 Access, Correction, and Deletion
• Account Information: You can access and update some of your personal account information (such as your profile details and contact information) directly by logging into your RevOps AI account and editing your profile or settings. It is your responsibility to keep your account information current and accurate. If you need assistance accessing or updating any personal data that is not editable within the platform, you may contact us at dpo@revops.ai for help.
• Data Access and Portability: In certain jurisdictions, you have the right to request a copy of the personal information we hold about you, and to request that we provide it to you in a structured, commonly used, and machine-readable format (data portability). We will honor such requests in accordance with applicable law.
• Correction and Deletion: You have the right to request that we correct any inaccurate or incomplete personal information. You also have the right to request deletion of your personal information, subject to certain exceptions. Please note that if you request deletion of your data, we may need to retain some information as required by law or for legitimate business purposes (as described in Section 5 above). If you request deletion, certain aspects of the Service (which rely on your data) may no longer be available to you.
To exercise your access, correction, or deletion rights, please contact us at dpo@revops.ai. We will respond to your request as required by applicable law. For security, we may need to verify your identity before fulfilling certain requests.
6.2 Opt-Out of Marketing Communications
Promotional Emails: We send promotional emails only to individuals who have opted in (where required) or to existing account holders about similar RevOps AI services under legitimate interests. We do not add your imported contacts or end-users to our marketing lists. If you no longer wish to receive our newsletter or other promotional communications, you can opt out at any time by clicking the “unsubscribe” link at the bottom of those emails or by adjusting your email preferences in your account settings (if available). You may also request to opt out by contacting us at support@revops.ai or dpo@revops.ai. Please note that even if you opt out of marketing emails, we may still send you important transactional or relationship messages, such as service notifications, security alerts, or billing communications that are necessary for the administration of your account and the Service.
SMS/Text Messages: If you have elected to receive SMS or text message updates or alerts from us (or through our Service), you may opt out at any time by following the instructions in the message (e.g., texting STOP in reply to a message) or by contacting our support. Note that opting out of text messages may impact your use of certain Service features that rely on SMS.
We honor standard SMS keywords (STOP, CANCEL, END, QUIT, UNSUBSCRIBE) and clear free-text opt-out requests, and we maintain an organization-wide suppression list to prevent further messaging across all numbers/senders. “HELP” responses include sender identity and support contact.
6.3 Cookie Preferences & Tracking Choices
Cookies and Online Tracking: Most web browsers are set to accept cookies by default, but you can usually modify your browser settings to refuse cookies or alert you when cookies are being sent. Please note that if you disable or reject cookies, some features of our websites or Service may not function properly or may become inaccessible, as cookies are often necessary for the site to remember your preferences or enable certain functionality. For more information about how we use cookies and your choices, you may refer to our Cookie Policy (if available) or reach out to us for details.
We currently do not respond to “Do Not Track” (DNT) signals from web browsers. DNT is a feature offered by some browsers that, when enabled, sends a signal to websites to request that your browsing is not tracked. Given that there is no common standard for interpreting DNT signals, we treat them the same as other browser requests for content. However, you can exercise other choices over advertising cookies as described above.
6.4 Your Privacy Rights (EEA, UK, and Other Regions)
If you are located in the European Economic Area (EEA), United Kingdom, or other regions with applicable data protection laws, you may have additional rights regarding your personal data under laws such as the EU/UK General Data Protection Regulation (GDPR). These rights may include:
• Right to Be Informed: The right to be informed about the collection and use of your personal data (which is the purpose of this Privacy Policy).
• Right of Access: The right to request confirmation of whether we are processing your personal data, and to obtain a copy of the personal data we hold about you, as well as supplementary information relating to our processing.
• Right to Rectification: The right to request that we correct or update any personal data that is inaccurate or incomplete.
• Right to Erasure: The right to request that we delete your personal data when it is no longer necessary for the purposes for which it was collected, or when you withdraw consent (in cases where consent is the legal basis) or when processing is unlawful, among other reasons. This is sometimes called the “right to be forgotten.”
• Right to Restrict Processing: The right to request that we limit the processing of your personal data under certain circumstances (for example, while we verify or investigate your concerns about accuracy of your data or lawfulness of processing).
• Right to Data Portability: The right to request to receive your personal data in a structured, commonly used, and machine-readable format, and to have that information transmitted to another controller, where technically feasible. This right applies when the processing is based on your consent or a contract with you, and is carried out by automated means.
• Right to Object: The right to object to our processing of your personal data in certain situations. For example, you have the right to object to the processing of your personal data for direct marketing purposes at any time. If we are processing your data based on legitimate interests, you can object to that processing if you feel it impacts your rights.
• Rights Related to Automated Decision-Making: You have the right not to be subject to decisions based solely on automated processing (including profiling) that produce legal or similarly significant effects on you, except under certain exceptions. RevOps AI generally does not make such automated decisions without human involvement, but if we do, we will inform you and safeguard your rights.
• Right to Withdraw Consent: If we rely on your consent to process personal data, you have the right to withdraw that consent at any time, without affecting the lawfulness of processing based on consent before its withdrawal.
To exercise any of these rights, please contact us at dpo@revops.ai. We will consider and act upon any request in accordance with applicable laws. We may ask you to verify your identity to help us respond efficiently to your request. Additionally, you have the right to lodge a complaint with a supervisory authority (such as a Data Protection Authority in the EU or the UK’s Information Commissioner’s Office) if you believe our processing of your personal data violates the law.
6.5 Your California Privacy Rights (CCPA/CPRA)
If you are a resident of California, you are entitled to certain rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA) (collectively referred to here as “CCPA”). Please note: the CCPA generally provides rights to California consumers regarding personal information collected in the context of household or personal use. If you are a California individual interacting with RevOps AI in a business-to-business (B2B) context (for example, as an employee of one of our business customers), some of these rights may not apply to that information. However, RevOps AI is committed to honoring applicable privacy rights and provides the following, to the extent required by law:
Categories of Personal Information Collected: In the preceding 12 months, we have collected the categories of personal information described in Section 1 of this Policy (such as identifiers like name and email, commercial information like transaction history, internet or electronic activity like usage data, and in some cases audio/electronic information if call recordings are involved). These are collected for the purposes described in Section 2. We do not use or disclose sensitive personal information (as defined in CPRA) for purposes that require offering a limit to its use.
Disclosure of Personal Information: We may disclose the above categories of personal information to third parties for our business purposes, as described in Section 3 (e.g., to service providers like cloud hosting, analytics, payment processors, etc.). In the past 12 months, we have not sold personal information to third parties for monetary consideration. We also do not “share” personal information for cross-context behavioral advertising as those terms are defined in the CCPA. RevOps AI does not knowingly sell or share personal information of minors under 16 years of age.
Your CCPA Rights: As a California consumer, you have the right to:
• Right to Know: You may request that we disclose to you the specific pieces of personal information we have collected about you, as well as details about our information practices, including the categories of personal information we have collected, the categories of sources, the business or commercial purpose for collecting it, and the categories of third parties with whom we share it.
• Right to Delete: You may request that we delete personal information that we have collected from you, subject to certain exceptions (for example, we may retain information as required by law or to complete a transaction or provide services you requested).
• Right to Correct: You may request that we correct inaccuracies in your personal information, taking into account the nature of the personal information and the purposes of processing it.
• Right to Opt-Out of Sale/Sharing: Because we do not sell or share personal information as defined by CCPA, this right is not applicable. If in the future we ever engaged in selling/sharing personal data, we would provide a “Do Not Sell or Share My Personal Information” link on our website to facilitate opt-outs.
• Right to Non-Discrimination: We will not discriminate against you for exercising any of your CCPA rights. This means we will not deny you our services, charge you a different price, or provide a different level of quality of services just because you exercised your rights. However, please be aware that in some cases, we may not be able to provide certain services if you ask us to delete your information, for example.
Submitting CCPA Requests: You (or an authorized agent acting on your behalf) can submit requests to know, delete, or correct by contacting us at dpo@revops.ai or via any web form or portal we may make available for CCPA requests. We will need to verify your identity (and, if applicable, the agent’s authority to act on your behalf) before fulfilling CCPA requests. Verification may involve providing information that matches our records or signing a declaration under penalty of perjury. We will respond to verifiable requests within the time frames prescribed by CCPA.
7. International Data Transfers
RevOps AI is headquartered in the United States, and our Service is primarily operated in the U.S. However, we may process and store information in various countries, including the United States and possibly other locations where we or our service providers maintain facilities or servers. This means that if you are using our Service from outside the U.S., your personal information may be transferred to, stored, or processed in a country that is different from your home country and which may have data protection rules that are different from (and less stringent than) those of your country.
Transfers from the EEA/UK or Other Regions: If you are located in the European Economic Area (EEA), United Kingdom, or another region with laws governing data collection and use, please note that we will take appropriate safeguards to ensure that your personal data remains protected in accordance with this Privacy Policy and applicable law. These safeguards may include relying on the European Commission-approved Standard Contractual Clauses (SCCs) or other lawful transfer mechanisms when we transfer personal data from the EEA/UK to the United States or other countries that are not deemed “adequate” by the EU/UK. Where required, we apply supplementary measures. Details are provided in our Data Processing Addendum and subprocessor list.
By using the Service or providing us with information, you acknowledge the transfer, storage, and processing of your personal data in countries outside of your country of residence, including the United States, as described in this Policy. We will always protect your information as described herein, wherever it is processed.

8. Children’s Privacy
Our Service is not intended for use by children under the age of 18, and we do not knowingly collect personal information from anyone under 18 years old. If you are under 18, you must not use or access the Service. We ask that individuals under 18 not provide any personal information to us.
In the event we learn that we have inadvertently collected personal information from a child under 18 (or under the applicable age of consent in certain jurisdictions), we will take reasonable steps to delete that information from our records as soon as possible. If you believe that we might have any information from or about a minor, please contact us at dpo@revops.ai so that we can investigate and address the issue promptly.
9. Changes to this Privacy Policy
We may update or modify this Privacy Policy from time to time in response to evolving legal, technical, or business developments. When we update our Privacy Policy, we will take appropriate measures to inform you, consistent with the significance of the changes we make. We will post the new Privacy Policy on our website and update the “Effective Date” at the top of this Policy to indicate when those changes will become effective.
If we make any material changes to this Privacy Policy, we will provide a more prominent notice (such as by posting a notice on our website’s homepage or within the Service, or by emailing you or notifying you within your account) prior to the change becoming effective, if required by applicable law. We encourage you to review this Privacy Policy periodically to be informed of how we are protecting your information. Your continued use of the Service after any changes or revisions to this Privacy Policy have become effective indicates your agreement to the terms of the revised Policy.
10. Incident Response
We maintain an incident response program. For a security incident that results in unlawful destruction, loss, alteration, unauthorized disclosure of, or access to personal data, we will notify impacted Customers without undue delay (and in any event within 72 hours of confirmation where legally required), including available details, likely consequences, and measures taken or proposed.
11. Data Processing Roles & DPA
For Customer end-user/contact data and communications, Customer is the Controller and RevOps AI is the Processor. We process such data solely to provide the Service and on Customer’s documented instructions, subject to our Data Processing Addendum (DPA) with the EU Standard Contractual Clauses and UK IDTA for international transfers. Our DPA is available at revops.ai/legal/dpa or on request.
12. Subprocessors
We use vetted subprocessors to deliver the Service (e.g., hosting, telecom, analytics). We maintain a public list describing each subprocessor’s purpose and location and will provide advance notice of material changes. Customers may subscribe to updates and, where contractually permitted, object per the DPA.
13. Model Training & AI Usage
We do not use Customer communications (messages, transcripts, contact lists) to train generalized AI models offered to others. We may use aggregated, de-identified telemetry to improve the Service, and we may train customer-scoped models for that Customer’s tenant where enabled. Any broader use occurs only with your opt-in.
